# ConfigBot for ServiceNow - Data Copy and Scramble

The **Data Copy and Scramble** Module enhances the original Data Scrambler by enabling secure data transfer between ServiceNow instances while anonymizing sensitive information. It allows administrators to copy or copy and scramble data across instances with table and query-based targeting. Featuring flexible field-level operations such as randomization, constants, skipping, or data removal, it helps create safe, production-like datasets for development, testing, and training environments, ensuring data integrity and security during migration.  

For example, when a user selects the User (sys\_user) table for data transfer, the module automatically identifies related fields such as Name, First Name, Last Name, Department, and more. Administrators can then choose to apply scrambling operations to specific fields or to all fields during the copy process, providing full control over how data is transferred and anonymized between instances. 

The following article explains how to use the **Data Copy and Scramble** Module in ConfigBot to perform operations.
 
**Step 1: Log in to ConfigBot**  

Enter your username and password, then click Submit to access the portal

**Step 2: Access Data Copy and Scramble Module** 

From the ConfigBot dashboard, navigate to the **Scramble**, and click on  **Data Copy and Scramble** module tile to open it.

**Step 3: Create new iteration**  

Click the Add Iteration button

* Enter the Iteration Number   
* Select the Workspace or ADD NEW WORKSPACE   
* Enter Host Address   
* Choose the Instance Type   
* Enter your Company ID and Username   
* Add a Description

Then click **Submit** to create the iteration. 
 
**Step 4: Select Table, Select Fetch Type and Add Query:**  

Open workbook by clicking on the sheet icon. 

Navigate to the **Config & Search Criteria** sheet. As shown in the image below, select the User [sys\_user] table, select "Yes" for Copy, select "Yes" for Scramble, set the Fetch Type to "Fetch By Query", and enter the required query conditions in the Value column. 
* Table: Select the target table containing the data you want to scramble. 
* Copy: Select "Yes" to copy the records from the source instance. 
* Scramble: Select "Yes" to scramble the records that are being copied. 
* Fetch Type: Choose a retrieval method to filter and pull records from the selected table. 
* Value: Enter query conditions to isolate the exact records that require data scrambling.

**Step 5: Prepare Sheet** 
 
Once the iteration is created and config is set, click on the Hamburger Menu and select Prepare Sheet.

**Step 6: In the pop-up window:**   

* Check Select All  
* Enter your ServiceNow password   
* Add any execution notes 
* Click Confirm and Start to process execution

This step adds fields from selected table in **Scramble Config** sheet.
 
Once the execution status is complate, navigate to your workbook.

Here you can see **Scramble Config** sheet, with successfully backfilled all field for the selected table from instance.

To execute the data copy and scrambling operation, go to **Scramble Config** sheet, assign a Scramble Type to each field (row) you wish to modify based on the options below: 

* Constant: Applies a fixed value to the field. Specify the desired value in the Constant Value column. 
* Random: Replaces the existing data with a randomly generated value. 
* Delete: Removes the existing data, leaving the field blank. 
* Skip: Bypasses the field entirely without making any changes.

Navigate to the **Copy Config** sheet. Set the Value column to "Yes" if you want to create records on the target instance when they do not already exist:

**Step 7: Start Configuration.** 

Once your configuration data is set:  
* Return to your iteration in ConfigBot.  
* Click the Hamburger Menu and select **Request Reprocess.**

Click the Hamburger Menu again and this time select **Process Workbook**.

**In the pop-up window:**  
* Enter your ServiceNow instance password (Instance A)  
* Add any execution notes  
* Select the Copy and Scrambling checkbox 

**Scroll down: (for second instance)**
* Enter Host Address of ServiceNow Instance (Instance B)  
* Enter your Company ID and Username (Instance B)  
* Enter Second Instance Password

Click “**Confirm and Start**” button to start execution.
 
**Step 8: Monitor Progress**   

You can click the Information (ℹ️) icon on your iteration to monitor the processing status in real time and Logs.

Once the status changes to "**Complete**", review the logs to see the total number of processed records, along with a breakdown of successful and failed records.

Open workbook and navigate to the **Scramble Report** sheet to view the status summary for the processed records. The key columns in this sheet include: 

* Tables: The name of the table target for the scramble operation. 
* Scrambled Count: The total number of records processed. 
* Success: The number of records successfully scrambled. 
* Failed: The number of records that failed to scramble. 
* Message: Logs for the scramble operation.
