ConfigBot WD - How to add and update Business Process in Core HCM.

CORE HCM – Business Process

 

The following article will help to explain how you can add or update a Business Process in Workday through Configbot.

 

  1.       Enter your Username and Password and click at the submit button to login.

 



  1.       Navigate towards the "Home screen" and click on the "Core HCM" module tile.




  1.       Select the workspace that best suits your preferences or requirements.




  1.       Navigate to the generated workbook (in my case, Iteration #1) and open the workbook.



 

  1.       The workbook will appear in a new tab on your browser. Navigate to the worksheet tab labeled 'Business Process'.

 



  1. To create a new business process, first select the Business Process Type in the sheet and the Supervisory Organization where you want to create it. Make sure the selected Business Process Type does not already exist in that organization. Leave the Business Process Name column empty, and set both the Supervisory Organization and Business Process Type to the same values. Fill in the remaining columns with the relevant data. In the next section, leave the Business Process Name/Steps column empty again, enter the same Business Process Type and Supervisory Organization, and then add the steps along with the other required data in the appropriate columns. Once all details are filled set the processing to pending.


Note: The business processes shown in the sheet depend on the functional areas you selected during the proxy configuration.



 


  1.     Close the workbook and navigate back to ConfigBot. Under the Actions tab for the same iteration number, click the hamburger menu, and select the "Start Configuration" option from the dropdown menu.



 

  1.       The Start Configuration pop-up window will appear. Enter your Workday password and provide any relevant execution notes. Then, select the checkboxes for Cost Center. Finally, click the "Confirm and Start" button.




  1.    You can later click the information icon to monitor the progress of your iteration.

 


 

  1. Once the status shows "Complete," return to the workbook to verify that the business process has been successfully added or updated. For a newly created business process, the columns that were previously left empty will now be automatically filled with the Business Process Type and the Company Name. Similarly, the steps will be added for the newly created business process in that organization. The corresponding rows and fields will be highlighted in green, indicating successful execution. Additionally, the Processing Status for those rows will be updated to "Processed."




 

  1.   To confirm the changes, go to the Workday Home page and search for Business Process Definitions. A window will appear showing all available business processes. Click on the filter icon to add a filter. In the filter options, choose Business Process Type, then select the business process type you created and click at the filter button. This will display the business process across all organizations. From there, select the organization where you created the business process to view its details

 


 

 


  1.   Once you select that business process type for the specific organization, you can view various details across different tabs such as steps, services, rules etc. Additional information can be accessed by clicking the ellipsis (three dots) in the top menu, depending on your access. Within the grid, you can sort and filter the data as needed.

This confirms a successful execution where a business process was added in the Supervisory organization inside Core HCM Module using ConfigBot, ensuring accurate data transfer and configuration within Workday.
