ConfigBot for ServiceNow – Impact Analysis Security: Fetch Groups with the Same Role

Sometimes multiple groups in a ServiceNow instance may share the same role and identifying them manually requires opening each record one by one. Using the Impact Analysis – Security: Group with Same Role module, we can easily identify and analyze all groups that have identical roles assigned. This helps in auditing, managing access, and ensuring security compliance across the instance efficiently. 

The following article explains how to identify and analyze groups in your instance that share the same role using ConfigBot’s Impact Analysis Security module. 

Step 1: Log in to ConfigBot 

Enter your username and password, then click Submit to log in. 

Step 2: Access the Impact Analysis Security Module 

From the Home Screen, click on the Impact Analysis Security module tile. 

Step 3: Select a Workspace 

Choose the workspace that best suits your preferences or analysis requirements. 

Step 4: Create a New Iteration 

Click the Add Iteration button. 

• Enter the Iteration Number 
• Select the Workspace 
• Enter Host Address 
• Choose the Instance Type 
• Enter your Company ID and Username 
• Add a short Description  
• Then click Submit to create the iteration. 

Step 5: Open the Workbook 

Navigate to your newly created iteration (e.g., Iteration #1) and open the Workbook. 

It will launch in a new browser tab. 

Step 6: Configure the Role Filter 

Within the workbook: 

• Go to the Config worksheet tab. 
• In the Fetch Groups with Same Role Filter Type column, select Fetch only. 
• In the Roles Assigned to Multiple Groups column, type the role name (for example, itil). 

Then close the workbook 

Step 7: Generate the Workbook 

Click the Hamburger Menu and select Generate Workbook. 

In the pop-up window: 

• Enter your ServiceNow instance password 
• Add any execution notes 
• Select the checkbox for Duplicate Role Groups Then click Confirm and Start to begin the process. 

Step 8: Monitor Progress 

Click the Information (ℹ️) icon to track your iteration’s progress. 

Step 9: Review the Results 

Once the status shows Complete, open the generated workbook. 

Navigate to the Groups with Same Role sheet to view all groups that share the specified role. 

By following these steps, you can efficiently identify all groups in your instance that share a common role using ConfigBot’s Impact Analysis Security module. This process helps administrators: 

• Detect redundant or overlapping access assignments 
• Strengthen compliance and governance 
• Maintain a clean, well-structured role management system
